  * Program Committee members are responsible for running the regular monthly meetings, on a rotating basis. The Program Committee person running the meeting for a particular month selects the location (if not already reserved) and seating configuration ("U" shape, rectangle, or separate round tables, etc.), reserves the room and arranges the configuration with the restaurant, sets the agenda (and sometimes even distributes a written agenda in advance via e-mail if that would be useful), arranges for an outside speaker (if any) or member spotlight presentations or other program exercise, sends around the e-mail notice of meeting about 3 weeks beforehand to request member RSVPs, sends a reminder notice to members about a week before the meeting, gathers RSVPs and reports the head count to the restaurant two days in advance, and runs the meeting. The further in advance such aspects as restaurant location and any speakers or discussion programs are arranged, the more smoothly things tend to go (and the less likely it is that any given private room will be unavailable or that a prospective speaker will have a conflict for that evening). David A. is available to help with any aspect along the way. The earlier you start, the less time consuming it is likely to be – it can take as little as an hour or two of time over a period of weeks, or it could take a couple of hours more if the programming is more complex or planning is not done sufficiently far in advance. Commitment to lead a meeting and reservation of the private room should be done at least 45 days in advance of the meeting date to decrease likelihood of unavailability or other complication.
